What will I be doing?

The successful candidate will be joining an already growing bidding function with exciting opportunities for a Senior Bid Administrators to support the planning, organization and monitoring of all aspects of the bidding process from pre-positioning, Expression of Interest & Tender through to the conclusion of contract negotiations. Senior Bid Administrators would lead in one area of bidding (e.g. with a particular donor or technical area), as well as support the analysis and provision of bid statistics, and provide training and mentoring to other members of the team.

  • Key Responsibilities:

    • Provide administration support on Expressions of Interests & Tenders for a variety of different donors . This includes as relevant: sourcing relevant capacity statements, formatting of CVs, searching and formatting project references and completed supplier specific forms as required by the client concerned
    • Providing advice and assisting with relationship management with consultants and external organisations
    • Opportunity searching & project tracking including market and project related intelligence
    • Managing the data for which they are responsible to ensure the availability, integrity, confidentiality and security of the data.
    • Ensure bid data is updated regularly & accurately to aid production of bidding statistics & analysis
    • Prepare and regularly update the bid preparation timetable
    • Collaborate closely at all stages of the bidding process with the Consultant and other members of the project services team, and service leaders as required.
    • Provide support to Consultants in developing the project budgets and ensure all budgets are passed to the Project Finance Manager for consultation and review.
    • Ensure bid prep team are aware of internal finalisation dates & advise team so a timely submission can be managed
    • Provide support to the Consultant during post-proposal stages of the bidding and provide full hand-over to the appropriate project administrator.
    • Manage data for which you are responsible to ensure the availability, integrity, confidentiality and security of that data.
    • Support consultants with pre-positioning visits (flights, visas, and hotel), workshops, etc.
    • Supporting low-medium value projects, or shadow support to larger bids

    What skills, qualifications & experience will I need?

  • Person Specification:

    • Senior Bid Administrators will provide training and mentoring to other members of the team - therefore bid admin experience is required.
    • Due to the above, you must be a people person; with patience and qualtiities to mentor & develop others
    • Pro-active & flexible approach to work: ability to work on own initiative
    • Excellent organisation & administrative skills with strong attention to detail, strong time management / prioritisation skills & evidence of previous experience
    • Flexibility to cope with several jobs simultaneously to agreed deadlines
    • Numerical confidence, with the ability to analyse budgets, excellent financial and commercial acumen
    • MS Office, particularly advanced levels of Word, Excel and PowerPoint
    • Written skills including ability to summarise complex documents
    • High standard of both written and spoken English
    • Editing and proof-reading skills & high level of accuracy
    • Professional with strong communication skills with the ability to deal with people at all levels
    • Ability to work effectively as part of a team

    Desirable skills:

  • Education to degree level would be preferable
  • Research skills desirable
  • Knowledge and experience of the international development business would be desirable
  • Fluency in French would be an advantage but not necessary

This is a full-time, permanent role, based in Oxford city centre.
