What will I be doing?

You will be required to work as a key part of an administrative support team. Working as part of a team to provide comprehensive administrative assistance to a discrete functional group, and shared support for department and other site functions as needed.

Duties will include:

  • Site Administration, sharing responsibilities and cross-training with other assistant partners as needed.
  • To contribute to the continuous improvement and efficiency of the admin function
  • assist and prepare for new hires, preparing work space, necessary systems access etc., and ensuring a smooth and efficient on-boarding
  • assist and support the leavers process, ensuring activities are conducted in a timely and efficient manner.
  • Circulate correspondence, journals and subscriptions
  • Update the intranet site
  • Assist with general paperwork, e.g. photocopying, scanning, binding, etc., and maintain general administrative needs within each department such as maintaining the departmental filing systems, answering telephone calls, screen calls, taking and distributing messages, administering and distributing mail, outgoing mail couriers, faxes.
  • Coordinate approval of purchasing requests.
  • Coordinate visits by outside guests and / or visiting colleagues to include : notification of visitors to Security and others as appropriate ; conference room reservations, catering needs and IT needs.
  • Coordination of large meetings, and events, both on and off-site
  • Maintain calendars of designated VP’s as required.
  • Prepare, submit and track expense reports for designated team members as necessary.
  • Use company-approved travel vendors to arrange domestic and international travel for leaders and team members, including flights, trains, ground transport, hotels, etc. prepare relevant documentation and itinerary packages to travelling staff in a timely manner prior to departures. Coordinate real time travel issues as they arise.
  • Compliance with all company policies and procedures.
  • Any additional tasks and responsibilities commensurate with role and grade

What skills and experiences are required

Experience & Qualifications:

-Ideal:

  • Background of working in the pharmaceutical or biotechnology industry, or else research and development environment
  • Degree or equivalent
  • Experience of working with SAP Ideal and using excel to track expenditure
  • Experience of managing a complex agenda.

-Minimum required:

  • HS Diploma or 5 GCSE or equivalent, to include maths and English.
  • Demonstrated ability to work within a global matrix organisation and a remote team
  • Background of providing full service administrative support
  • Demonstrated ability to manage multiple, complex travel arrangements
  • Demonstrated ability to plan all aspects of complex meetings - on and off-site.

What else do I need to know?

This role is based on Milton Park in modern offices with parking facilities.

The role is permanent and full-time 37.5 hours per week, regular working days Monday to Friday, flexibility in hours of duty may be required subject to operational requirements.
