What will I be doing?

The Project Administrator will provide logistical, project and financial administration support, working closely with the team Senior Project Officers.

This is a very fast paced role, a great opportunity for someone who is looking to start and further develop their career in project management. It is great team, offering support and training, but autonomy to grow and develop and progress your career further.

Main Responsibilities

Project Administration

  • Full administration of projects throughout the planning, implementation and dissemination cycle.
  • Act as first point of contact for the project for the client, partners, staff and external consultants as necessary.
  • Provide support to Operations Manager in contacting individuals for the project team.
  • Prepare subcontracts.
  • Responsible for ensuring all policies and procedures are carried in accordance with requirements.
  • Make project-related travel, visa, hotel and logistical arrangements.
  • Edit, format and bind project reports.
  • Format CVs.
  • Arrange copy editing as required using external resources.
  • Assist with organising workshops, conferences, seminars and training events.
  • Responsible for chasing and liaising with the client.
  • Provide support and carry out any other duties required by the Operations Manager and the team.

Financial Administration

  • Provide budget information as required in terms of fee rates, unit costs for flights etc.
  • Prepare sales invoices, work-in-progress and assist with credit control.
  • Process purchase invoices.
  • Keep project finance records and provide reporting.
  • Maintain project files and archives.

What skills and experience are required?

    • The ideal candidate should be of graduate calibre and an experienced administrator, capable of dealing with a consistently high volume of work.
    • You must be flexible -this role requires flexibility (ever changing situations and curve balls)
    • good customer service and stakeholder management skills (direct communication with investors and high profile consultants)
    • Ideally degree level of education or equivalent.
    • Good administrative skills, with experience of working in a similar lore, in a busy office.
    • Experience of working with multiple stakeholders, internal and external, ability to deal with people at all levels.
    • Proficiency in Microsoft Office products (Word and Excel in particular).
    • Familiarity with basic financial documents (e.g. invoices, order forms, timesheets).
    • Accuracy and attention to details.
    • Storing initiative and ability to work a minimum of supervision.
    • Ability to multi-task, working with several jobs simultaneously and to agreed deadlines.
    • Good written and verbal communication skills including a pleasant telephone manner.
    • Ability to work effectively as part of a team

What else do I need to know?

The role is paying up to £24,000 p.a. with extensive benefits which include an exceptional pension scheme, Private Healthcare cover, a bonus scheme (rules apply) and 30 days holiday PLUS bank holidays each year.

City central offices mean employees cannot park on-site and alternatives need to be considered, including park and ride, bus routes and train access.

This role is offered on a permanent, full time contract but those wishing to temp with a view to going permanent will also be considered.
