What will I be doing?

My client is looking for Facilities Coordinator who will be responsible for the management of my clients Oxford city centre office including security, maintenance and other services as required.

  • Act as the key point of contact with the landlord for day-to-day operation purposes and in the event of emergencies
  • Manage all facilities contracts such as cleaning and security
  • Build effective working relationships with clients and manage supplier relationships
  • Track building upkeep, improvements and maintenance to ensure they are of a consistent high standard
  • Oversee reception to ensure an efficient and effective service is provided at all times, including line management of the Facilities Administrator
  • Regularly review service providers to ensure value for money and level of service provided
  • Establish and implement processes and procedures as needed ensuring they are fit for purpose
  • Oversee the Health and Safety officer and ensure compliance with regulations at all times
  • Budget for the costs to support and operate the office. Continually monitor
  • Work with the Operations Coordinator to manage office layout changes and reorganisation to support company growth 
  • Support with potential office moves
  • Ensure that disaster recovery plans are up to date and are periodically tested
  • Track and monitor various documentation to ensure it is current e.g. H&S and Environmental Management information, and prepare relevant reports
  • Support, communicate and collaborate with other business functions
  • Provide reception cover as needed
  • Provide support to the Central Operations Manager as needed e.g. supporting company events.

What skills and experience are required?

  • Significant experience in facilities/building management and an awareness of Health and Safety
  • Ability to cope with several jobs simultaneously, working methodically to agreed deadlines, often under pressure
  • Team player but with the ability to work autonomously, using own guidance, initiative and motivation to handle conflicting demands
  • High level of attention to detail and ability to work with budget figures
  • Ability to be flexible and desire to take on new challenges
  • Ability to maintain discretion and professionalism at all times
  • Ability to develop the role in order to facilitate continual improvement of systems and ways of working
  • Excellent verbal and written communication skills with the ability to develop key working relationships with people at all levels
  • Excellent skills in Outlook, Word and Excel are essential
  • Previous experience of managing staff or direct reports is desired

Prior working knowledge of SharePoint intranet systems is useful.
