What will I be doing?

This role is based within a busy operational team, which is responsible for the physical delivery of over 40,000 examinations worldwide annually. Ensuring the smooth running and efficient delivery of the current examination process, working as part of a team to ensure that our stakeholders receive excellent customer service at all times whilst maintaining a cost effective process.

Responsibilities will include:

  • Work with suppliers to ensure that examinations are delivered on time and with consistency. This will involve liaison with examination venues / assessment centres and their staff to ensure that requirements have been met and appropriate feedback given where required.
  • To ensure the worldwide delivery of online examination environments for students. This will include web based and specially developed downloadable platforms.
  • Ensure examination services provided are efficient, cost effective and meeting demand. Working with the Examinations Supervisor to ensure that financial documentation is up-to-date.
  • Work collaboratively with the Quality and Assessment team within the Engagement and Learning Directorate to communicate forecast and actual demand for the examinations highlighting operational concerns which may impact the quality of assessment where appropriate.
  • Work with the Quality and Assessment Team to release the examination results maintaining absolute accuracy in a time sensitive process.
  • Determine number of invigilators necessary for the examinations and work collaboratively with the team to ensure that they are sufficiently allocated. This will also include familiarisation with best practice necessary for conducting assessments and ensuring that invigilators attending are fully trained.
  • To monitor examinations as required, being first line support for all students enquires in relation to all examinations. Some out of 'normal office hours’ support may be required at key times within the examinations cycle.
  • Coordinate assessment submissions from the United Kingdom and overseas, ensuring that the relevant policies and procedures are upheld.
  • Record and report incidents with examinations, decide required actions as necessary by referring to guidelines and seeking support when needed. Some out of 'normal office hours’ support may be required.
  • Maintain and update as necessary examination materials content e.g. instruction documents, guides. Prepare all exam documentation using Word and Excel and manipulating data extracted from database.
  • Work with the Education Services Team including providing cover at times of peak demand or to cover absence to ensure the smooth flow of information regarding examination entry and session set up.

What skills and experience do I need?

You must have:-

  • Strong customer service skills, strong communications skills - written, verbal

  • Ability to communicate with people at all levels

  • Attention to detail and accuracy

  • Able to work on own initiative within minimal supervision

  • Adaptable and able to work in a demanding fast paced environment

  • Experience of working with databases

  • Dealing with multiple suppliers and tight deadlines

  • Experience of producing operational management information

  • Ability to multi task

    It would desirable for candidates to display:

    Experience of an exam environment or education body

    Working in a fast paced environment to tight deadlines

What else do I need to know?

This role is full-time and permanent and based in Oxford city centre and parking is not provided on site.

Due to the increasing international nature of the assessments, certain flexibility will be required by the post-holder as out of hours working will be necessary during peak examination times.

As the team represents the function of two specific types of assessment; face to face and online, the post holder will be required to demonstrate flexibility in their job role to help meet demands that are faced by the whole team as opposed to those specifically stated in the job description.
